New clients

We ask that all new spa clients and yoga students create an account before booking a first visit. Visit the homepage of our website, click the big purple “Create an Account” button and follow the email prompt to fill out a short intake and sign your waiver. Once your waiver is signed, yoga students are invited to continue into the online scheduler to book a first class. We encourage our spa-goers to call us at (360) 393-8829 to book any reservations with more than one single appointment. We will handle it all for you!

If it is your first visit for the spa, please arrive 30 minutes early so that you have ample time to complete any necessary intake forms. We’d also love to give you time to settle your belongings into a locker, use the restroom, and give you a tour.

If it is your first time taking a yoga class with us, please arrive 20 minutes before your first class. We’d love to introduce you to our space, show you to your classroom, introduce you to your teacher, and still give you time to settle into a quiet space before your class begins.

Booking for Groups or Booking a Special

Payment in full is required at the time of booking for reservations with five or more services or when booking a special. The person booking the reservation is responsible for the full payment at the time of booking.

Should you need to cancel or re-schedule for any reason, a 100% credit will be applied to your Flow Motion account when giving at least 7 days notice. A 50% credit will be given if cancelling or re-scheduling with at least 48-hours notice given, but less than 7 days. No credit will be issued with less than 48 hours notice given of cancellation. The reservation will not be able to be re-scheduled with less than 48 hours notice given. 

Cancellation and Refund Policy

We regret that refunds or partial refunds are not issued under any circumstances. All sales are final. Please take care when making online purchases. Money from online purchases may be credited to your Flow Motion account on a case-by-case basis.

A minimum 48 hours notice is required for all service, workshop, or event reschedules or cancellations. A late-cancel/no-show fee equal to the service price will be charged in full if 48 hours notice is not given or in the event of a no-show. We are unable to make any exceptions. For yoga or fitness classes, we require 24 hours notice to reschedule or cancel your reservation to avoid charging the full single class rate.

All clients have access to their appointment or class reservations through our scheduling software. Visit our website and click “Account Login” to access or make cancellations. Punch card holders or limited membership holders will have their class added back to their account and will be charged the same late-cancel/no-show fee. 

Membership Billing & Cancellation Policy

All of our memberships bill automatically on the 1st of every month. Memberships and account balances must be paid in full each month before you attend class or receive service for that calendar month. Membership cancellations must be made via email to Info@MoveInFlowMotion.com 30 days before the start of the next billing cycle. Memberships not properly cancelled are still the financial responsibility of the client. Please note, cancellation requests made in person, verbally, to a front desk person, to any staff member, via social media or messenger, text, or phone call will not be accepted as your membership cancellation and the date requested via these methods will not count toward acceptable cancellation notification. Please understand no exceptions can be made for any reason.

Appointment Policy

In order to serve all of our clients in a timely manner, it is important that you arrive 10-15 minutes before your appointment is scheduled to begin so we may give you your full service time. If you need to cancel your scheduled session, we ask that you log in to your client profile and reschedule your session. If you do not do so before the required 48 hour notice, the full value of your missed appointment will be billed. Pre-paid sessions will be forfeited. 

Massage members are responsible for scheduling appointments independently through our scheduling software, WellnessLiving. You may access it from the homepage of our website or by downloading the app. Any services included in a membership expire at the end of each month. Unused appointments do not roll over into the following month.

Yoga Policies

We ask that everyone register for class ahead of time as we no longer accept walk-ins. If it is your first class with us, please visit the homepage of our website to create an account. Once your waiver is signed, you’ll be automatically logged into the online scheduler and may book class from there. After your account is created you may also download the WellnessLiving Achieve app to your phone and schedule from there if that is more convenient for you.

We hold class even if only one student has registered, but if no students have registered for a class two hours before it is scheduled to begin, the class for that day will be cancelled and removed from our online scheduler. Please be sure to use the online scheduler and sign up before the two-hour window closes. You may either log on using the homepage of our website or the WellnessLiving Achieve scheduling app.

Please be aware that our class cancellation policy is 24 hours. If you need to cancel a class reservation, please log into our online scheduler to make any necessary cancellations 24 hours before your reservation. In the event of a cancellation less than 24 hours before your class begins, $25 will be charged to your credit card on file as a late cancel/no-show fee.

Classroom doors open 15 minutes before every class. We encourage students to fully utilize this time to center and balance yourself, adjust to the room temperature, and soak in the quiet before class starts. We ask that students don’t arrive any earlier or congregate outside classrooms with classes in progress. Unfortunately we do not have a waiting room, but early students are welcome to come in and browse in the wellness boutique before the classroom doors open.

We will no longer be accepting late arrivals into classes. Once the class has begun, check-in will be closed. This ensures a quiet, reflective time for the beginning grounding portion of class without any disruptions from the door opening/closing and late students setting up. We want to be fair to the students who arrived on time since this portion of class sets the tone for the remainder of their hour, so please understand that we cannot make exceptions. Please adjust your schedule so you arrive 15 minutes before every class. If you’re attending class for the very first time, please give yourself extra time to park and find us in this big historic building! If you miss a class due to a late arrival, please refer to our cancellation policy for late-cancellations.

Water dispensers are no longer available. Please bring pre-filled water bottles from home. Spring water is available for purchase in our reception area.

No Children

We kindly ask that children stay home and not wait in the hallway or our lounge spaces while parents take a class or utilize spa services. Children may be permitted to take a yoga class on a case-by-case basis if they are also paying yoga students who are attending class themselves. Children may take a yoga class with their parent or guardian if they have the attention span to participate for the entirety of class without being a disturbance to others. Minors must be at least 16 years old to take hot yoga, book a sauna appointment, or use the spa facilities. Minors 16 and older do not need a parent or guardian present, but their waiver must be signed by a parent or guardian prior to arrival. Unfortunately, we are unable to book massage services for anyone under 18 years of age. 

No Observers

If you’re curious about yoga, we invite you to take a single class at our drop-in rate. Observing a class is not permitted out of respect for the comfort of our yoga students. We do not have a waiting area or lounge for guests of yoga students. Guests may pay and attend the yoga class. Guests may not sit in the classroom or hallways and we regret that the lounge located inside the spa may not be used as a waiting room.

Indoor-only shoes required for certain classes

We are located in the historic Carnation building in Ferndale, WA. As part of its character, our studio has original century-old fir floors. We ask that you be cautious during classes traditionally taken barefoot, like yoga. Proper indoor-only footwear is mandatory in dance, dance fitness, and fitness classes. We request that the entire sole of your foot is covered and, for some of our class offerings, athletic sneakers are worn. Students who choose to go barefoot do so at their own risk.
